Privacy Policy

This Privacy Policy explains how S·Pika collects, uses, stores and protects personal data when you use spika-ai.com and the related services.

1. Who operates S·Pika

S·Pika is operated by Kseniia Korotkova, an independent individual based in Serbia (“S·Pika”, “we”, “us”). For privacy questions or requests concerning your personal data, contact support@spika-ai.com.

2. What data we process

Depending on how you use S·Pika, we may process account data; your last selected interface language; an approximate country code determined from your IP address at registration; user content such as audio files, documents and processing results; credit and transaction records; technical data necessary for security and troubleshooting; and support correspondence.

S·Pika does not receive or store full bank-card details. Payment details are processed by the payment provider used at checkout.

3. Why we use your data

We use data to maintain accounts, provide transcription and translation, calculate and manage credits, display available results, provide support, protect the Service and comply with legal obligations. We use the approximate registration country code and interface-language preference in aggregate to understand language needs and improve the Service; they do not determine eligibility, payments or where your files are processed.

Where GDPR or similar laws apply, processing is based on performance of our agreement with you, legitimate interests in operating and securing the Service, consent where required and legal obligations where applicable.

4. How files are processed

To provide transcription and translation, S·Pika may transmit the necessary parts of uploaded content to specialised third-party technology providers. Such providers process data only to the extent necessary to provide their services to S·Pika.

Your name and email address from your S·Pika account are not sent to these processing providers as separate data alongside your materials.

Audio recordings submitted for transcription are not used by our transcription providers to train their models.

You are responsible for ensuring that you have a lawful basis to upload and process materials containing personal data of other people.

5. International processing

S·Pika and its service providers may process data in Serbia and other countries where infrastructure or service providers operate. Where required by law, we take appropriate steps to protect data transferred internationally.

6. Retention

Transcription results and the associated source audio recordings are stored for 7 days after successful completion of transcription. Translation results are stored for 24 hours (one day) after successful completion of translation. The availability deadline is displayed in the Service.

For audio formats incompatible with the browser player, S·Pika may create a compatible playback copy. The original is deleted only after successful transcription and storage of that copy. The playback copy remains available within the transcription's retention period; conversion does not extend it.

You can delete your transcriptions and translations before their retention periods expire using the relevant history section. Deleting a transcription also removes access to its associated source audio and public links. When the retention period expires, the stored results and retained source audio are deleted. Deleted materials cannot be restored, so download any documents you need before deleting them or before their availability expires.

Account, credit and transaction records are kept while an account remains active and afterwards only as necessary for support, security, refunds, accounting or legal obligations.

Deleting a recording or a translation result does not delete related records of S·Pika usage and credit transactions. These records are stored separately to account for credit additions, deductions and refunds.

7. Public transcript links

You may create a public link to a transcription and choose whether it provides access to text only or to both text and audio. The public page displays the filename, the transcript and its availability deadline. It does not display the name, email address or other account details of the user who created the link.

Anyone with the link can open it without signing in to S·Pika and may forward it to others. The public page does not allow recipients to edit the transcript. If you include audio, recipients can also listen to the source recording. Only share links with people you trust.

A public link does not extend the retention period. Access through the link ends when you delete the transcription or its retention period expires. Deletion from S·Pika does not remove copies that you or recipients have already saved elsewhere.

8. Security and essential technologies

We use reasonable technical and organisational measures to protect data. Data transmitted between your browser and S·Pika is protected using HTTPS/TLS encryption.

S·Pika uses necessary technical technologies, such as cookies or local storage, to maintain authenticated sessions, remember essential settings and keep the Service functioning securely.

9. Your rights

Depending on applicable law, you may request access, correction, deletion, restriction, objection or portability of your data, withdraw consent where applicable and lodge a complaint with a relevant data-protection authority. To exercise these rights, email support@spika-ai.com.

10. Children and updates

S·Pika is not intended for individuals under 16. Users uploading content containing personal data of other people, including children, are responsible for having an appropriate legal basis.

We may update this Policy when the Service, law or our data practices change. The updated version will be published on this page.
